How to reply to negative Google reviews: a 4-step method and 10 templates
By the StartCloudOps team4 min read
A 1-star review hurts, especially when it feels unfair. But your reply is not really for the reviewer. It is for the next hundred people who read it before deciding whether to visit. A calm, short reply can make a bad review work in your favour. Here is how.
The 4-step method
- 1Thank them for taking the time to write, even if it stings.
- 2Acknowledge the problem in one line, in their words (“the long wait on Saturday”). Don’t argue the details in public.
- 3Say what you’re doing about it, briefly: a change you made, or that you want to look into it.
- 4Move it offline: give a phone number or WhatsApp to sort it out personally.
Keep it to three or four sentences. Reply within a day or two, while the customer still cares. If the review breaks Google’s rules (fake, abusive, a competitor), report it from your Business Profile as well, but still reply politely.
What never to write
- Arguments or blame (“You came 10 minutes before closing”).
- Personal details: phone numbers, bills, what the customer bought, or for clinics, anything about their health.
- Copy-pasted corporate lines (“We regret the inconvenience caused”). Customers can tell.
- Accusations that the review is fake, even if you suspect it. Report it instead.

Frequently asked questions
Should I reply to every negative Google review?
Yes. A calm reply shows future customers how you handle problems. Keep it short and move the details to a phone call.
Can I delete a negative Google review?
No. Business owners cannot delete reviews. You can report reviews that break Google’s policies, and Google decides whether to remove them.
Does replying to reviews help ranking?
Google says review count and score factor into local ranking, and that replying to reviews shows you value your customers. Replies also help customers who read them decide to visit.
